Your Video Guide to Open Engagement Sessions

All Presenters

  • All Presenters must be registered for the meeting by 5 February.  If you have not registered for the meeting, please do so here: https://my.aas.org/services/AAS_Member/Events/Event_Display.aspx?EventKey=AASTCS8
  • Please fill out this Recording Release Authorization so we may post your pre-recorded video on YouTube and record your live presentation for subsequent posting.
  • We are planning for all presentations to be given via Zoom, which will allow you to control your own slides during your presentation. However, in case of connectivity issues, we ask that you upload your slides in advance (pdf, ppt, or key).
  • Please remember that this is an interdisciplinary conference, so please make sure that your presentation is understandable to a non-expert scientist and include explanations of jargon and units.

Plenary Talks

Key Steps:

  • Create your talk in the form of a series of slides using whatever presentation software you prefer.
  • Use Zoom/PowerPoint/Keynote to record yourself talking to the viewers through your slides.
  • Please upload your pre-recorded presentation by 5 February to either the Dropbox or Google Drive folder that was emailed to you when you were invited to give your talk, so it can be watched before the meeting.
  • Finally, upload a copy of your slides to be used in the live meeting no later than 5pm EST the night before your presentation.

Recording Your Presentation:
PowerPoint, Keynote, and Zoom products offer a different, but equally good way of recording your voice as you move through your slides. 

Once you have recorded your presentation, please:

  • Save it with a filename that includes your name, e.g. “session title your name.mp4”
  • Upload the presentation to either the Dropbox or GoogleDrive folder that was emailed to you when you were invited to give your talk, no later than 5pm EST the night before your presentation
     

Contributed Talks

  • In case of connectivity issues, we ask that you upload your slides in advance (pdf, ppt, or key)
  • Save it with a filename that includes your name, e.g. “session title your name.key”
  • Upload the presentation to either the Dropbox or GoogleDrive folder that was emailed to you when you were asked to give your talk, no later than 5pm EST the night before your presentation.
  • It is not required, however, if you wish to pre-record your talk, please follow the Recording Your Presentation guidelines above.

Open Engagement Presentations

Everyone who submitted an abstract and is not giving a plenary or contributed talk has been assigned to present their work during an Open Engagement session.  The mid-day “Open Engagement” A/B/C sessions will allow attendees to meet with the asynchronous presenters who are encouraged to be available (“at their posters”) for the 45 minute time slot. The end-day “General Open Engagement” will not require asynchronous presenters to be available, but can be used for meet-ups, discussions, networking, etc. 

  • To participate in these sessions, please submit by Wednesday, 17 February either:

                        1) A 5 minute pre-recorded video based on your submitted abstract

                        OR

                        2) A standard downloadable poster, based on your submitted abstract

  • For a standard poster: Please create a 48in x 48in (or 1.2m x 1.2m) poster of your contributed research, including charts, graphs, and detailed visual aids.
  • For a 5 minute pre-recorded video: Please fill out this Recording Release Authorization so we may post your pre-recorded video on YouTube, and follow the Recording Your Presentation guidelines above.
  • Save your presentation with a filename that includes your name, e.g. “session title your name.key”
  • By February 17, upload the presentation to either the Dropbox or GoogleDrive folder that will be emailed to you.

Panelists

  • You will be contacted with specific instructions/questions to discuss.
  • If you submitted an abstract and are not giving a talk, please submit an Open Engagement presentation (see above).
